Software for SEO Agencies in 2026

An SEO agency needs evidence for client work and control over delivery. Those are two different software jobs:

  • SEO production: first-party search data, keyword and competitor research, crawling, rank monitoring, and optional AI-visibility monitoring.
  • Agency operations: project templates, approvals, reporting, time and budget tracking, CRM, invoicing, and accounting.

This guide builds three example stacks using public product and pricing documentation reviewed on July 19, 2026. Clearpick has not completed hands-on tests of every product below. Pricing shown on this page was checked against each vendor’s official pricing page on September 8, 2026, and every figure is sourced in the table above. Capabilities are vendor-reported unless stated otherwise, so these are shortlist examples rather than performance rankings.

The Minimum Viable SEO Agency Stack

Search performance and indexingGoogle Search Console and Bing Webmaster ToolsNever replace first-party data; add tools for workflow and competitive research
Traffic and conversion measurementThe client’s approved analytics platformAdd warehouse or BI tooling when cross-client governance requires it
Keyword, backlink, and competitor researchOne primary SEO platformWhen limits, history, markets, or team access block delivery
Technical crawlingA configurable crawlerWhen sites exceed free limits or audits need rendering, extraction, scheduling, or saved crawls
Client reportingLooker Studio or existing dashboardsWhen maintenance, permissions, delivery, or white-label requirements consume too much time
Project deliveryA shared task systemBefore recurring work depends on individual inboxes or memory
Time and marginBasic time trackingWhen the agency needs estimates, billable rates, required fields, or profitability reporting

Buying every category on day one usually creates duplicate rank trackers, audits, dashboards, and AI metrics. Define which product owns each metric before adding another subscription.

Current Prices for the Core Tools

Semrush SEO Classic

Semrush’s current SEO Classic plans are:

  • Pro: $139 monthly or $117.33 per month equivalent when billed annually; up to 5 monitored websites and 500 daily tracked keywords.
  • Guru: $249 monthly or $208.33 annually; up to 15 monitored websites and 1,500 tracked keywords.
  • Business: $499 monthly or $416.66 annually; up to 40 monitored websites and 5,000 tracked keywords.

Additional SEO Toolkit users are separately priced by tier. The current knowledge base lists $45 for Pro, $80 for Guru, and $100 for Business per additional user per month. View-only project sharing is available without another full user.

Semrush One is a separate bundle adding broader AI-visibility tooling. It starts at $199 monthly for Starter, while the underlying SEO Classic Pro plan starts at $139. Do not compare the two prices as though the products have the same scope.

Ahrefs

Ahrefs publishes:

  • Lite: $129 per month, 5 projects, 750 tracked keywords, 100,000 crawl credits, and one included user.
  • Standard: $249 per month, 20 projects, 2,000 tracked keywords, 500,000 crawl credits, and one included user.
  • Advanced: $449 per month, 50 projects, 5,000 tracked keywords, 1.5 million crawl credits, and one included user.

Standard and Advanced provide different history and feature depth from Lite. Added users cost $40, $60, or $80 per month respectively, within each tier’s user limit. Ahrefs also lists a $29 Starter plan and free access for verified sites, but those should not be presented as substitutes for an agency plan without checking their limits.

The plans include a small number of tracked prompts, while larger custom-prompt packages and Brand Radar AI carry separate prices. That makes AI visibility an explicit capacity decision rather than a reason to assume a second platform is always required.

Check Ahrefs’ current plans and limits.

Screaming Frog SEO Spider

The free SEO Spider crawls up to 500 URLs and omits advanced functions including saved crawls, scheduling, JavaScript rendering, crawl comparison, several integrations, and custom extraction.

The paid license is €245 per user per year. Five to nine licenses are €235 each, 10 to 19 are €219, and 20 or more are €209. The crawl is described as unlimited in the licensed version, subject to the machine’s storage and memory resources.

Check Screaming Frog’s current license price and feature comparison.

AgencyAnalytics

AgencyAnalytics replaced its older Freelancer, Agency, and Agency Pro price structure with one client-based plan. The public annual price is $20 per client per month and includes staff and client users, integrations, reports, white-label branding, custom domain and email, and API access.

Rank tracking and AI tracking are optional add-ons. Annual prices shown are $41.67 per month for 500 weekly tracked keywords and $20.83 per month for 250 AI Tracker credits. Agencies with 25 or more clients are directed to enterprise pricing.

Check AgencyAnalytics’ current client pricing and add-ons.

Looker Studio

Google describes Looker Studio’s standard version as a no-cost reporting tool. It can be a sensible starting point when the agency can maintain connectors, templates, ownership, permissions, and metric definitions itself. “No-cost” does not mean zero operational cost: third-party connectors, warehouse queries, template maintenance, and access failures may still create expense.

Review Google’s Looker Studio product comparison.

ClickUp

ClickUp’s Free Forever plan includes unlimited members and tasks but has storage, form, and feature limits. Unlimited is $7 per user per month with annual billing and Business is $12. For an agency, paid value typically comes from storage, forms, integrations, permissions, time tracking, portfolios, and dashboards—not from task creation alone.

Check ClickUp’s current pricing.

Toggl Track

Toggl Track has a limited free plan. Starter is $9 per active user per month annually or $10 monthly; Premium is $18 annually or $20 monthly. Starter adds billable rates, estimates, alerts, tasks, and team reporting. Premium adds controls such as required time-entry fields and reminders.

Three Stack Examples With Explicit Assumptions

These examples are arithmetic scenarios, not purchasing recommendations. Prices exclude tax, promotions, exchange-rate conversion, paid connectors, accounting, invoicing, CRM, storage, AI overages, and enterprise quotes.

Solo consultant: 5 client websites

Assumptions: one operator, five monitored client websites, no paid white-label portal, reporting maintained in Looker Studio, and one licensed desktop crawler.

ComponentSelectionMonthly equivalent
First-party dataSearch Console, Bing Webmaster Tools, client analytics$0 software fee
SEO platformSemrush Pro, annual billing$117.33
Technical crawlerScreaming Frog, one license€20.42
ReportingLooker Studio$0 software fee
Project managementClickUp Free$0
Time trackingToggl Track Free$0

Known total: $117.33 per month plus €20.42 per month equivalent. Ahrefs Lite at $129 monthly is an alternative primary platform; it should replace, not automatically duplicate, Semrush in this example.

If automated branded reports save enough maintenance time, adding five AgencyAnalytics clients would cost $100 per month on annual billing before tracking add-ons.

Five-person agency: 10 clients

Assumptions: two people need full SEO-platform access, all five use delivery and time systems, 10 clients receive AgencyAnalytics reports, and two users run licensed desktop crawls.

ComponentSelectionMonthly equivalent
SEO platformSemrush Guru annual + one extra SEO user$288.33
Client reportingAgencyAnalytics, 10 clients, annual$200
Technical crawlerScreaming Frog, two licenses€40.83
Project deliveryClickUp Unlimited, five users, annual$35
Time and estimatesToggl Starter, five users, annual$45

Known total: $568.33 per month plus €40.83 per month equivalent. Rank Tracker and AI Tracker add-ons are not included; add them only after comparing their limits with the primary SEO platform.

Twenty-person agency: 30 clients

Assumptions: 10 staff need full SEO-platform access, all 20 use delivery and time systems, 10 people run desktop crawls, and reporting requires an enterprise quote because the agency has more than 25 clients.

ComponentSelectionMonthly equivalent
SEO platformSemrush Business annual + nine extra SEO users$1,316.66
Client reportingAgencyAnalytics EnterpriseQuote required
Technical crawlerScreaming Frog, 10-license rate€182.50
Project deliveryClickUp Unlimited, 20 users, annual$140
Time and estimatesToggl Starter, 20 users, annual$180

Known total before reporting: $1,636.66 per month plus €182.50 per month equivalent. This is deliberately not converted into one currency or presented as a complete budget. An agency should request an enterprise reporting quote and compare whether every assumed SEO seat and crawler license is actually needed.

Choose the Primary SEO Platform With a Client-Capacity Model

Do not pick Semrush or Ahrefs from a generic “better backlinks” or “better PPC” slogan. Build a capacity sheet for the coming contract period:

CapacityCurrent need12-month needProduct limitOverage or upgrade
Monitored websites/projects
Tracked keywords by update frequency
Countries, locations, and devices
Crawl credits or URLs
Full users and view-only users
Historical data
Exports and API units
Reports and white-label delivery
Tracked AI prompts, platforms, and locations

Test the same five real research questions in each finalist using a non-sensitive site you are authorized to analyze. Record whether the answer was available, which database and date it used, the export limits, and the steps required. Clearpick has not run that comparative test for this page and therefore does not name a universal winner.

Reporting: Define the Metric Before Automating It

Automated reporting can reproduce a bad metric more efficiently. For every client-facing measure, document:

  • source account and property;
  • owner and access method;
  • timezone, currency, market, device, and search engine;
  • filters and attribution settings;
  • refresh frequency and expected delay;
  • definition of branded and non-branded traffic;
  • treatment of migrations, consent gaps, bot traffic, and tracking outages;
  • who approves annotations and commentary.

Search Console is the source for Google’s reported search performance, not a third-party traffic estimate. Competitive estimates can be useful for research, but label them as estimates and never merge them silently with first-party numbers.

AI Visibility: Add It Only With a Defined Service

Tracking prompts across AI systems can help answer a bounded client question, but it is not a stable equivalent of rank tracking. Results may vary by model, location, account, personalization, time, web access, and prompt wording.

Before selling or buying an AI-visibility service, define:

  1. the platforms and model surfaces covered;
  2. the exact prompt set and how it was selected;
  3. country, language, device, and account conditions;
  4. check frequency and sampling method;
  5. what counts as a mention, citation, link, position, or sentiment;
  6. how volatility and missing answers are reported;
  7. which business decision the metric informs.

Semrush One, Ahrefs custom prompts, and AgencyAnalytics AI Tracker each use different units and scopes. Compare the measurement design, not only the number of “prompts.”

A Four-Part Agency Workflow Test

Use one authorized test property and one fictional client workspace. Remove confidential data before trials or demonstrations.

1. Audit and research

  • Connect or import the test property without granting more access than needed.
  • Crawl it with a documented configuration.
  • Identify one indexability issue and trace the evidence to the affected URLs.
  • Research one topic and export keywords with market, date, and metrics intact.

2. Rank monitoring

  • Add the same keyword set, country, location, device, and search engine.
  • Confirm update frequency and SERP-feature handling.
  • Export raw positions and inspect how missing or unranked results are represented.

3. Client reporting

  • Connect first-party sources and the chosen rank source.
  • Build one report with definitions and an annotation.
  • Test client permissions, scheduled delivery, failed-source alerts, and complete export.

4. Delivery and margin

  • Create a recurring monthly campaign from a template.
  • Assign owner, reviewer, due date, estimate, and client-visible status.
  • Record time, exceed an estimate, approve work, and inspect the project report.

Record completed steps, time required, observed limits, add-ons needed, and anything demonstrated only by the vendor.

Buying and Renewal Checklist

  • Export the current client, website, keyword, prompt, user, report, and crawl volumes.
  • Model at current size and at the next realistic growth point.
  • Remove duplicate audit, rank, reporting, AI, and project functions unless duplication is intentional.
  • Decide which staff need full, limited, view-only, guest, or no access.
  • Verify data ownership, API/export limits, retention, deletion, SSO, audit logs, and offboarding.
  • Compare annual savings with cancellation restrictions and expected client churn.
  • Test a full export before committing to an annual plan.
  • Store metric definitions and crawl configurations outside any one employee’s account.

Frequently Asked Questions

What software does an SEO agency need?

At minimum, an agency needs first-party performance data, a controlled delivery system, and a way to preserve evidence. A primary SEO platform and technical crawler often add value. Dedicated reporting, rank tracking, time controls, and AI visibility should be added when client volume or a defined service justifies them.

Should an agency buy both Semrush and Ahrefs?

Not by default. Both products cover overlapping research, audit, and tracking jobs. Test the questions and capacity that matter to your clients, then buy one primary platform. A second platform is justified only when a documented data or workflow gap is worth the duplicate subscription and training cost.

How much does a five-person SEO agency stack cost?

In the explicit 10-client example above, two Semrush users, AgencyAnalytics for 10 clients, ClickUp Unlimited for five users, Toggl Starter for five users, and two Screaming Frog licenses total $568.33 per month plus €40.83 per month equivalent. This excludes taxes, connectors, tracking add-ons, CRM, invoicing, accounting, and promotions. Change the assumptions before using the number as a budget.

Is Looker Studio enough for client reporting?

It can be when the agency can own templates, connectors, credentials, permissions, refresh failures, and metric definitions. A paid reporting platform can reduce that maintenance and add client administration or white-label delivery. Compare recurring labor and connector costs with the client-based subscription, not only the license price.

Does every SEO agency need AI visibility tracking?

No. It is relevant when the agency has defined a service, prompt set, methodology, and client decision tied to the output. Buying a tracker before defining those elements creates a dashboard without a defensible metric.
