HubSpot Alternatives: Start With the Reason for Leaving

HubSpot is not one product. Smart CRM can sit under Marketing, Sales, Service, Content, Data and Revenue hubs. Replacing Sales Hub with a focused CRM is a different project from replacing Marketing Hub workflows, forms and campaign reporting.

This guide maps four alternatives to a specific reason for leaving:

Reason for leaving HubSpotFirst alternative to evaluateWhat it can replaceLikely gap to plan for

Clearpick checked official documentation on July 19, 2026. We have not performed a complete live migration into all four products. The migration workflow below is a fictional acceptance protocol, not a claimed test.

First Audit What You Actually Use

Export a 90-day inventory before asking for demos:

  • active users and seat types;
  • contacts, companies, deals, tickets and custom objects;
  • pipelines, stages, properties and associations;
  • active forms, meeting links, chat, landing pages and tracking code;
  • lists, workflows, sequences, lead scores and lifecycle rules;
  • marketing contacts, email volume, subscriptions and consent evidence;
  • dashboards, reports and attribution dependencies;
  • integrations, private apps, API jobs and webhooks;
  • files, templates, knowledge base, website or blog assets;
  • Service, Content, Data or Operations functions in use.

This inventory prevents a misleading comparison between one alternative subscription and a multi-hub HubSpot account.

1. Pipedrive for a Focused Sales Pipeline

Pipedrive Growth is the relevant comparison when the sales team needs pipelines, activities, full email sync, tracking, automations, nurturing sequences, forecasting and meeting scheduling without a broader inbound platform.

The official Pipedrive pricing page lists Growth at $39 per seat per month with annual billing. Lite is $14 but does not represent the email-and-automation replacement tested here.

Choose this route when: HubSpot is mainly a sales CRM and marketing/service functions can remain elsewhere.

Functions at risk: HubSpot forms, marketing workflows, lead scoring, campaign attribution, tickets, knowledge base and CMS do not become Pipedrive functions merely because contacts and deals import successfully. Price any Pipedrive add-ons and external marketing/service tools.

Migration difficulty: lower for clean standard sales records; higher when HubSpot lifecycle stages, associations, products, custom objects, sequences or marketing activities drive the process.

2. Zoho CRM for a Lower-Cost Sales System

Zoho CRM Standard is the lowest published paid sales-CRM price in this comparison. The official Zoho pricing lists a free edition for three users, while its official USD comparison lists Standard at $14 per user per month annually. Standard includes workflows, assignment rules, cadences and reporting.

Choose this route when: the main objective is a less expensive sales system and someone can own configuration and data governance.

Functions at risk: replacing a HubSpot platform can require Zoho Campaigns, Desk, Forms, Analytics, Marketing Automation or other products. Confirm data sync, identity, permissions and total bundle price rather than assuming “Zoho” means one subscription.

Migration difficulty: medium when leads, contacts, accounts and deals map to the standard Zoho model; higher when custom layouts, team modules and several Zoho applications must share ownership and consent data.

3. Brevo for Email-Volume-Led Marketing

Brevo prices its marketing plans primarily around sending and contact tiers. Its official plan documentation lists Free at $0 with 300 daily emails and storage for up to 100,000 contacts, Starter from $9, Standard from $18, Professional from $499 and Enterprise by quote.

Free includes multi-channel automation for up to 2,000 contacts, but only one user. Starter begins with 5,000 monthly sends and up to 500 stored contacts at the lowest tier. Team seats and other functionality vary by plan or add-on.

Choose this route when: campaign send volume, transactional email, SMS/WhatsApp options and basic marketing automation matter more than HubSpot’s unified sales and content model.

Functions at risk: do not assume Brevo campaign contacts, CRM records, reports, forms, deal pipelines and attribution reproduce HubSpot Marketing Hub. Validate each live form, consent field, suppression list, automation and revenue report.

Migration difficulty: driven less by contact import than by sender-domain setup, deliverability warm-up, subscription/consent mapping, automation rebuilding and replacement of every embedded capture path.

4. ActiveCampaign for Marketing Automation

ActiveCampaign’s current platform centers on email marketing and automation. Its official pricing page prices by contact band and selected plan, so a current quote must use your real marketable-contact count. Plus and above include unlimited automation actions; Starter limits each automation to five actions.

The platform now treats enhanced pipelines/sales engagement, SMS, transactional email, AI activities and some reporting as add-ons. That makes an old headline price unreliable for comparing it with HubSpot.

Choose this route when: branching journeys, segmentation and email automation are the central requirements and the team accepts a separate or add-on sales CRM.

Functions at risk: HubSpot deals, sales sequences, content, service, attribution and custom reporting may not be included in the base email plan. Build the quote from required journeys, users, contacts, sends, CRM add-ons and channels.

Migration difficulty: high when many workflows depend on HubSpot list membership, lifecycle stages, form events, scores and custom properties. Rebuild and parallel-test the logic; do not translate workflows by name alone.

Current HubSpot Cost Baseline

Use the contract, not a generic article. HubSpot’s official product catalog lists standard prices, while live pages can show promotions. At the reviewed date:

  • Sales Hub Professional starts at $100 per seat per month with $1,500 required onboarding.
  • Marketing Hub Professional starts at $890 per month with three Core seats and $3,000 required onboarding.
  • Marketing Hub contact tiers, extra seats and other hubs can add cost.
  • Core-seat pricing can follow the highest product tier in a mixed account.

Compare the alternative stack against the full current invoice and renewal quote, not against HubSpot Free or a temporary Starter promotion.

Migration Cost Model

first-year switching cost = new licenses + implementation + cleanup + data migration + integration/workflow rebuild + forms/tracking replacement + training + overlap + contingency

Also list functionality lost or moved to another vendor. Recurring cost begins only after removing one-time work.

WorkstreamEvidence required before cutover
RecordsCounts by object, stable IDs, associations and sampled values match
ActivitiesNotes, calls, meetings, tasks and former-owner history are accessible
ConsentSubscription status, lawful-basis evidence, opt-out and suppression lists map correctly
CaptureEvery production form, chat, meeting link and API creates the intended record
AutomationEach trigger, branch, delay, action and failure path passes a parallel test
ReportingPipeline, campaign and revenue totals reconcile for an agreed period
IntegrationsDownstream counts and error logs remain clean
ExitUsable export plus documented access to any retained HubSpot history

HubSpot’s official export documentation confirms that current record values and associations can be exported. It separately points to activity exports and APIs. That distinction is why “download a CSV” is not a complete migration plan.

Manual Migration Acceptance Test

Use fictional data in a trial environment:

  1. Import contacts: 20 contacts, 10 companies, five deals, one duplicate, consent fields and stable external IDs.
  2. Pipeline: reproduce four stages, required fields, lost reason and ownership.
  3. Form: rebuild a fictional demo-request form and verify source, consent, deduplication and owner assignment.
  4. Automation: on valid form submission, create or update the contact, create a deal, assign an owner, send an internal alert and schedule follow-up. Submit twice and inspect duplicates.
  5. Email: send a test campaign or one-to-one email, process a reply and unsubscribe, then verify every status.
  6. Report: reconcile pipeline totals and form-to-deal conversion against the small dataset.
  7. Export: confirm records, identifiers, activities and consent can leave the replacement platform too.

Record who completed each step, plan, date, elapsed time, errors and manual work. A vendor demonstration is evidence of what was shown, not independent migration proof.

Decision Matrix

  • Pick Pipedrive only if sales focus is the reason for leaving and separate marketing/service tools are acceptable.
  • Pick Zoho CRM only if lower CRM cost outweighs the configuration and multi-app architecture.
  • Pick Brevo only if email volume and channel messaging are the dominant HubSpot workload.
  • Pick ActiveCampaign only if automation depth is central and the quote includes required CRM, reporting and channel add-ons.
  • Stay on HubSpot when the avoided migration work and genuine cross-hub integration cost less than a fragmented replacement stack.

There is no tested universal winner here. The best alternative is the one that passes the specific replacement workflow with the lowest three-year total cost and a reversible exit.
